The Operations Manager is an essential part of the administrative team of PYCO, a non-profit organization providing high-quality music education and performance opportunities for young musicians ages 8 to 20. Working with the Artistic Director, Orchestra Manager, Business Manager, and the artistic staff members, the Operations Manager will be responsible for the day-to-day operations of PYCO as well as rehearsals, concerts, and events. This position provides ample opportunity to implement ideas and add creativity to PYCO’s successful and dynamic youth music education and performance programs.
Job Description
- The Operations Manager is a part-time position with the Pittsburgh Youth Concert Orchestra (PYCO) involving a minimum of 6 hours on Sundays (12:00 pm to 6:00 pm) and 20 additional hours on average per week.
- Salary is $23-$25/hour commensurate with experience and with potential growth over time.
- Attendance at rehearsals, concerts, summer camps, events, staff meetings, and board meetings is required.
- PYCO rehearsals and concerts usually occur on Sundays from September through April. Rehearsals take place at the PYCO School of Music in Wexford, while concert venues vary.
- Office work hours outside of rehearsal usually occur 4 or 5 days per week in the morning or early afternoon year-round. Days and times of office hours are flexible. Meetings and most work will be conducted in the PYCO office facilities at the PYCO School of Music.
- PYCO typically hosts three week-long day camps during the summer, with varying dates in June and July.
- Position to start immediately with paid training.
Job Duties
- Ensures procedures and policies are followed for student registration and retention.
- Maintains accurate administrative records in conjunction with the Business Manager.
- Contacts area teachers, educators, and community to recruit students in general, and in particular to fill gaps in unfilled instrument positions.
- Plans and executes efficient schedules and logistic planning for rehearsals and concerts, including set-up and tear-down. May involve medium lifting and moving of chairs, music stands, instruments, equipment, tables, etc.
- Books the rental of concert and event venues.
- Oversees the hiring of outside musicians, coaches, and support staff for rehearsals, concerts, and events as needed.
- Sees to the needs of the artistic staff during rehearsals and concerts.
- Oversees and coordinates the creation and distribution of concert/event posters, brochures, and programs.
- Communicates regularly and in a timely manner with families and staff via email, phone, and in person.
- Maintains a strong presence with PYCO students, parents, and staff.
- Coordinates and works with parent volunteers and the PYCO Youth Council.
- Manages PYCO summer camps.
- Ensures that the PYCO website is up to date.
- Assists with social media, marketing, and public relations.
- Assists with identifying grant opportunities and completing grant applications.
- Oversees the planning and executing of special events, such as the annual concerto competition, international performance tours, outreach performances, and fundraising events.
- Oversees the duties of the Orchestra Manager and assists the Artistic Director.

- Administration background preferred. Music background is a plus but not required. Bachelor’s Degree or higher required.
- Child Abuse History, Pennsylvania Criminal Record Check, and FBI Federal Criminal History Background Check clearances will be required for employment.
